Applications & forms
A form behind a button – submissions land in the team channel, accepting assigns roles and sends a direct message.
How it works
- Members click “Apply now” in the channel and fill in a form – up to 25 questions, 5 per page. With several pages, they continue with “Continue to page 2” (one hour to finish).
- The submission lands in the team channel – with all answers and the buttons Accept and Reject.
- Accept assigns the configured roles (and removes e.g. “Applicant”). When rejecting, the team can give a reason.
- The person gets the result by direct message – with your text and the reason, if any.
Setup
Dashboard → Applications → Forms. Start with a template – Team application, Partnership or Event sign-up – or from scratch.
- Questions: text (short or long, minimum and maximum length), choice (2–25 answers to click) or yes/no – each required or optional. From the 6th question, a new page starts automatically.
- Button in the channel: channel, heading, description, color and button text. After saving, the bot posts the message within a few seconds – changes update it.
- Who decides? Specific roles – or empty: admins and bot masters.
- Requirement: only people with a certain role can apply (e.g. “Verified”).
- Cooldown: after a decision, people can only apply again after e.g. 1 day. While a submission is open, no second one is possible.
- Open/closed: closed forms show the button greyed out.
Tip: For “roles on acceptance”, the ZoneBuddy role must be above those roles.
On arrival: conversation, follow-up, history, ticket
Below every open submission in the team channel, next to Accept and Reject, there are more buttons:
- 💬 Conversation – a private thread with the person and you, in the channel of the form button (the person can’t see the team channel).
- ❓ Follow-up – your question is sent by direct message, the person replies via a button. The answer appears directly in the submission (up to 5 follow-ups).
- 📜 History – the person’s earlier submissions with result and reason (only visible to you).
- 🎫 Ticket – opens a ticket for the person in the configured panel (setting Ticket panel in the form).
In the dashboard, each form shows its acceptance rate and the average handling time.
Submissions in the dashboard
Under Submissions you see all submissions – filterable by open, accepted, rejected and form – and can accept or reject them there as well. The bot then applies roles, the direct message and the message in the team channel within a few seconds. If something fails (e.g. direct messages closed), the reason is shown right at the submission.
Tickets or form? For a conversation with follow-up questions, tickets are better. For a quick decision with a role, the form is simpler.
